Notification of Absence
The FVHDA really appreciates being notified via email (competitions@fvhda.org) as soon as possible if a dancer is no longer able to participate in the competition.

- The competition will be held in the Chief Sepass Theatre of Langley Fine Arts School

- Parking: please note that spaces immediately in front of the theatre entrance are reserved for judges, pipers and those with accessible parking permits; parking is not permitted near the garbage dumpsters.

Door Entry
Doors will open at 8am for admission of morning competitors. Admission is $5/person (cash only please) for persons 12 and over. Competitors do not pay admission.
Programs
A limited number of printed programs will be available at the door for $2/ea. Alternatively, event information is available via the ScotDance app (including results). The ScotDance app is available at no charge. See below on how to access the app.

Category Changes
If you have a Beginner, Novice or Intermediate dancer who has changed categories since their entry was submitted, it’s important that the Competition Secretary is notified before the day of the competition. Please email changes to competitions@fvhda.org
Pre-Premier Dancers Competing At Another Competition Within 14 Days
Is your Pre-Premier dancer competing at another competition within 2 weeks after the FVHDA competition and has the potential to change categories?
If so, you will need the FVHDA to issue a temporary RSOBHD card that the dancer can use at the next competition while awaiting the card for their new category. If this is a possibility, please email competitions@fvhda.org in advance so that we can be prepared to provide your dancer with a temporary card after awards.
Dancer Check-In
Competitors can pick up their numbers from the designated table upon arrival. All dancers MUST present a current physical RSOBHD dance card with the current year sticker affixed.
If the dancer is unable to present a current, physical card:
- A $10 forgotten/lost card fee will be payable (cash only) before the dancer’s number will be released to them.
- The card must then be presented to the FVHDA within 10 days of the competition to avoid further penalties.
- Any prizes won may be withheld until the card is presented.
Change Rooms
Both female and male change rooms will be available to dancers in the music classrooms located in the hallway off the entry/lobby area and will be identified with signs. A universal/family-friendly/gender-neutral change space is also available outside of the Mary Pratt Gallery (walk past the music classrooms and then take the hallway to the right). Please note that dancers must be dressed appropriately at all times in this area. There will be two pop-up change tents set up so that dancers have a private space to change costume undergarments.
Warm-Up Rooms
The following spaces can be used for warming up:
- Line-up room
- Hallway outside of music classrooms (dancers may bring their own foam matting for personal use)
- (For Premier dancers only) Dance classrooms near the Mary Pratt Gallery; Please note that footwear such as street shoes and Jig shoes are strictly prohibited in these rooms as they will damage the floors.
Etiquette for Theatre Entry and Exit
Please enter and exit the theatre from the top of the stairs. The lower doors are reserved to those requiring an accessible entry/exit. To minimize noise and disruption, enter and exit the theatre between dances only (that is, as dancers are entering or exiting the stage).
Platform Schedule
Morning dancing will begin at 9am.
Afternoon dancing will not begin before 12:45pm.

For Parents Of Primary Dancers
Parents of Primary dancers are asked to reunite with them in the line-up room after the last dance they are competing in.

Change Break
Please refer to the platform schedule to determine the timing of your dancer’s costume change. Dancers are asked to report back to the line-up room as soon as they are changed so as not to miss the call for their next dance.
Concession
The Grad Committee of Langley Fine Arts School will be on-site offering an assortment of snacks and beverages as a fundraiser. Thank you in advance for your support of their Grade 12 students! Please note that concession purchases will be via cash payment only.
Costume Sale
Are you holding onto costumes, shoes, or accessories that no longer fit or serve you? Now’s the perfect time to clear out your closet and help someone else shine! At the January competition, we’re hosting a Costume Sale where you can buy & sell pre-loved highland items!
👗 Outgrown or unused costumes (full sets or pieces)
👠 Dance shoes (jig shoes, ghillies, etc.)
🎩 Hornpipe hats and accessories
Don’t let these treasures gather dust—bring them along and give them a chance to dance again!
How It Works:
- Drop off your items at the sale table/racks.
- Fill out the supplied form with your information.
- Browse and shop for something new-to-you!

Medal And Trophy Drive
Do you have old FVHDA medals or trophies (trophies/plaques/cups/plates) collecting dust? If you’d like to donate your old awards back to us, there will be a donation box set up at the Numbers table.

The FVHDA is active on both Facebook and Instagram. You are welcome to tag us in your posts and/or use the hashtag #fvhda. A friendly etiquette reminder to not post photos or details of other competitors without their permission.
Code of Conduct
A friendly reminder that dancers are to be appropriately dressed while in common areas. In addition, all those in attendance at the competition are required to respect the RSOBHD Code of Ethics.
